Duties & Responsibilities

Each board position has a clear set of responsibilities defined by our bylaws. Roles are structured to ensure all members work together as a cohesive team to fulfill the PTO's mission.
President
Preside at General PTO meetings and Executive Board meetings, serve as the official representative of the PTO. Serve as liaison between school administration and PTO Board of Directors. This position automatically assumes the role of Outgoing President the following school year.
President-Elect
Oversee the committee system of the PTO, assist the President and chair meetings in the absence of the President. In the event President is removed or leaves, the President-Elect will automatically assume role of President. This position automatically assumes the role of President the following school year.
Recording Secretary
Record and distribute minutes of all Executive Board meetings and all General PTO meetings, prepare agendas for official PTO meetings, hold historical records and pictures as applicable for the PTO, including detailed records of steps taken to execute major events during the school year. Retain all official records of the PTO digitally and in copies in print, as applicable.

How are board members chosen?
Through elections and succession planning. Elections for open roles happen each April. Positions like President-Elect and Treasurer-Elect are designed to train for a year before stepping into leadership, ensuring continuity and preparedness.
How long can someone serve in a board position?
Up to two consecutive years in the same role, allowing for both continuity and fresh ideas.
What happens if a board member leaves mid-term?
If a vacancy occurs on the Executive Board, the President can appoint a PTO member to fill the vacancy for the remainder of the officer’s term. Vacancies can occur when a board member is no longer able to participate or their student leaves the school.
Who is eligible to be on the board?
Any PTO member with a child currently enrolled at Memorial Elementary. We’re always looking for passionate parents to get involved.
How often does the executive board meet?
The Executive Board shall meet monthly during the school year,
or at the discretion of the President.
